So, you have got some RFID tags. Maybe they are stickers, maybe they are hard plastic fobs. Now what? How do you actually get your data onto them? This is where the RFID reader writer comes in. It is one thing to read a tag that already has a number printed on it from the factory. It is another thing entirely to write your own information—like a product code, an asset ID, or an access credential—onto a blank tag. At CYKEO, we get a lot of questions about this process. People assume reading and writing are totally different machines. They are not. Let us clear that up.
What is an RFID reader writer?
An RFID reader writer is exactly what it sounds like: a device that can both pull data from an RFID tag and push new data onto it . Most people just call them “readers,” but the vast majority of modern readers can do both jobs. The device shoots out radio waves, talks to the chip inside the tag, and either asks it what it knows or tells it to remember something new .
The key difference between a basic reader and a good writer is control. When you are just reading tags, it is fine if the reader picks up a bunch at once. But when you are writing, you usually want to talk to one tag at a time, very carefully, so you do not mess up the data .
Do I need a special device for writing, or will any reader work?
Technically, a lot of readers can write. But not all of them are good at it. If you grab a big industrial reader designed to scan a whole pallet of boxes from ten meters away, it is going to struggle if you try to use it as a writer. The read zone is too big. It might see ten tags at once and get confused about which one to write to .
For reliable encoding, you want a desktop RFID encoder or a USB-powered device. These have a tight, focused read range—usually just a few centimeters . That way, you put one tag on the reader, and you know, for sure, that you are writing to that specific tag and not the one sitting three feet away on your desk . How close does the tag need to be to write to it?
Close. Much closer than reading. A good UHF reader might read a tag from twenty or thirty feet away. But writing? That takes more power and a clearer signal.
For high-frequency (HF) desktop rfid writers, the range is usually about 0 to 7 centimeters . For UHF desktop writers, you might get a little more, maybe up to 60 centimeters depending on the tag and the environment . But in practice, most people just set the tag right on top of the reader. It is faster, and there is zero risk of interference.
Can I write to any RFID tag?
No. You have to check if the tag is writable. Some cheap tags come from the factory with a fixed ID that you cannot change. Those are “read-only.” Good for tracking, bad if you need to encode your own numbers .
Most smart labels and blank cards are “writable” or “rewritable.” You can program them once, or you can erase and reprogram them hundreds of times. Just make sure your tags match the frequency—UHF, HF, or LF—that your reader uses .
What if I need to write hundreds of tags, not just one at a time?
Good question. Doing one tag at a time with a desktop writer works fine if you are making a dozen access cards for employees. But if you need to tag ten thousand items for a warehouse, you will lose your mind doing it one by one.
For high volume, you want an RFID printer encoder . These machines print the label and encode the chip in one pass, automatically. You feed in a roll of blank labels, hit print, and they spit out finished, encoded tags at high speed . Some desktop readers also support “group writing” if the tags are stacked in a certain way, but for serious production, a printer-encoder is the move .
Can I write tags with my phone?
Sort of. If you are using NFC tags—which are a specific type of high-frequency RFID—you can absolutely write them with a modern smartphone. Lots of people do this for simple stuff: programming a tag to open a website or connect to Wi-Fi.
But for UHF RFID reader writer tasks, like encoding pallet tags for a supply chain, your phone will not work. UHF requires different hardware. You need a dedicated desktop unit or a handheld industrial reader .
Can I build my own software to control the reader?
Yes, if you are into that kind of thing. Most professional readers come with software development kits (SDKs) that let you write your own applications .
For example, you can get a CYKEO desktop unit and use the provided libraries for C#, Java, or Python to build a custom encoding station . There are even tutorials out there showing how to connect an RFID module to an Arduino or a Raspberry Pi and write your own read/write scripts . It is not exactly plug-and-play, but it is totally doable if you have basic coding skills.
Do I need special software to run an RFID writer?
Most desktop readers come with demo software right out of the box . You plug it in via USB, open the program, and you can start reading and writing tags immediately. The software usually lets you type in the data you want to write, hit a button, and it programs the tag .
For businesses integrating RFID into their existing systems, you will want to use the SDK to connect the reader to your database or inventory software. That way, when you scan a tag, it pulls up the record automatically, or when you create a new item in the system, it programs the tag with the right ID .
Are there different frequencies for writers?
Yes. You have to match the reader to the tag. The main ones are:
- LF (Low Frequency, ~125 kHz): Used for animal tagging and some old access control. Short range, slow data .
- HF (High Frequency, 13.56 MHz): Used for smart cards, library books, and NFC. The classic desktop writer range .
- UHF (Ultra High Frequency, 860-960 MHz): Used for retail, warehouse, and supply chain. Longer range, faster reading, and supports scanning many tags at once .
If you buy a USB RFID programmer, make sure it matches the frequency of the tags you are using. A UHF reader cannot talk to an HF tag, and vice versa.
What about security? Can anyone rewrite my tags?
That depends on the tag and the reader. Basic tags have no security—any compatible reader can wipe them and write new data. That is fine for inventory where the data is just a random number. But for access control or payment, you need encryption.
Higher-end tags and readers support password protection and encryption . You can lock the tag so that a password is required to write to it, or even lock it permanently so nothing can ever change it again.
